Clinical Research Administrative Coordinator


Provide research and administrative assistance to the Division of Allergy, Immunology and Rheumatology's academic, research and clinical programs, with a particular focus on supporting the clinical research activities of the division. Major duties include managing the clinical and research databases and patient registries, assistance with creating charts & tables, assembling figures for manuscripts, assembling and formatting for NIH grants, serve as primary administrative contact with the Office of Research Administration. Provide administrative support to the Division Chief, faculty, nursing and divisional staff as it pertains to general administrative assistance with grants, travel coordination, faculty recruitment, credentialing, purchasing, reimbursements, organizing meetings, schedule coordination and organizing special projects and events. The ideal candidate is one who can work independently, with excellent skills in organization, who is adept at multi-tasking, has advanced computing skills, and who is clear and concise in written and verbal communication.

Required: Ability to work independently and with minimal supervision and direction. Skill in setting priorities integrating competing demands and deadlines to create a productive working environment. Advanced computer skills for database management and oversight, internet research, email and knowledge of Microsoft Office software (Outlook, Word, Excel, Powerpoint). Advanced skill in analyzying and interpreting data in order to create spreadsheets, graphs and charts for management reports. Interpersonal skills to establish and maintain cooperative working relationships with faculty, staff, patients, and patients families. Skill in writing concise, logical and grammatically correct letters, memos and reports. Ability to maintain confidentiality and to deal with sensitive situations in a tactful and discreet manner. Knowledge of medical terminology and previous working experience in a healthcare setting. Skill in speaking to individual of various social, cultural, economic, and educational backgrounds.
Preferred: Knowledge of policies and procedures for contract and grant administration including, form submission, budget preparation, pre- and post-award management. Demonstrated skill in writing clear and concise administrative and analytical reports and correspondence for a variety of audiences including faculty, staff, trainees, students, patients and families, and other constituencies associated with the Division. Working knowledge of Departmental and University policy relevant to Accounts Payable, reimbursements, Travel Center/Accounting, CVO, Human Resources, Patient Billing, and Office of Contracts and Grants. Demonstrated knowledge of applicable UC policies and procedures related to grants proposals and management, fund management including state, grant and philanthropic funding, accounting/BruinBuy, purchasing, travel services and other administrative guidelines related to the responsibilities of the position. Ability to read and interpret reports and spreadsheets in order to draw conclusions from the data. Familiarity with federal government policies and procedures governing appropriate grant-related expenditures.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
