Administrative Assistant III

ResponsibilitiesUnder the supervisor of the Core Manager, the Administrative Assistant will be involved in all aspects of Center for Computer Vision and Imaging Biomarkers (CVIB) administration, as well as provide back-up support and assistance to CVIB Principal Investigators (PIs). Provide administrative support for CVIB Core Lab and for the Computer Team. Point of contact for CVIB Project Managers. Maintain roster of CVIB personnel. Facilitate CVIB personnel trainings and records. Maintain contact with internal international research and clinical teams. Coordinate workstation schedules for volunteers and rotating students. Coordinate and schedule meetings, including finding venue, preparing agendas, providing food. Direct support and a point of contact for sponsors and industry. Assess need for and order supplies. Facilitate maintenance of office equipment. Assist with grant applications/submissions. Route documents for signatures. Make minor updates to CVIB website. Shop for services (e.g., phone, VOIP, network, 365, Adobe, time tracking, shredding, lodging, transportation, printing, marketing), as needed. Support to ensure compliance of personnel in relation to company procedure. Provide back-up support with faculty administrative needs and scheduling. Greet guests at the reception desk, when covering front desk. Provide back-up assistance with retrieving, distributing, and mailing correspondence with travel arrangements, including registrations, transportation, lodging, rentals. QualificationsAbility to establish and maintain cooperative and collaborative working relationships with administrative, clinical, and academic personnel. Ability to effectively work as part of a multi-cultural team and high-speed, dynamic environment. Ability to interact and communicate professionally and effectively with individuals at various organizational levels by telephone, in person, and written correspondence. Detail oriented to perform tasks with accuracy. Organizational skills to maintain all work materials and resources in an accessible, efficient manner. Skill in working independently and following through with minimal direction. Working knowledge of Microsoft Office suite. Ability to learn and use new software.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
